Inbox triage
Incoming email is sorted into new enquiries, existing customers, invoices, suppliers and junk, so you see what matters first.
- Labels or folders in Outlook or Gmail
- Urgent messages flagged
- A short daily summary if you want one
We set up AI to take the repetitive admin off small business owners: sorting your inbox, drafting replies, turning voice memos into quotes and writing up meetings. Everything is a draft for you to check, and nothing goes to a customer without your say-so. The first call is free, then one fixed price.
We start with the one that costs you the most time, get it working well, then look at the next.
Incoming email is sorted into new enquiries, existing customers, invoices, suppliers and junk, so you see what matters first.
Common emails get a draft reply written in your tone, waiting in your drafts folder.
Site notes, photos of a notepad or a voice memo from the van become a tidy quote in your usual layout.
Notes or transcripts from a meeting become a short summary with actions and a follow-up email.
Most small business owners don’t need a robot running the office. They need an extra hour in the evening that isn’t spent typing up quotes or wading through email. That’s the job we set AI up to do.
The rule we work to is simple: the AI prepares, a person decides. It sorts, drafts and summarises. You check, change and send. That keeps you in charge of anything that affects a customer, and it means a mistake costs you a minute of editing, not an unhappy client.
If you get fifty emails a day and five of them are new work, those five shouldn’t sit under newsletters and supplier invoices. We set up rules and AI sorting in Outlook or Gmail so new enquiries, existing jobs, invoices and junk land in the right place. You can also get a short morning summary: “3 new enquiries, 1 complaint, 2 invoices due”.
Many emails need nearly the same reply every time: “yes, we cover that area”, “here’s our price list”, “we’re booked until the 20th, can we pencil you in?”. We give the AI your usual answers and a few examples of how you write, and it drafts a reply for you to check. You’ll still want to read every one, but editing a draft is much quicker than starting from blank.
This is often the biggest win for trades and anyone who quotes on site. You talk through the job into your phone, or take a photo of your notes, and the AI turns it into a quote using your own template and prices. It points out anything it’s unsure about, like a measurement that doesn’t add up or an item you didn’t price. You approve every figure before it goes out. Our page on AI for tradespeople has more examples.
Microsoft Teams, Google Meet and Zoom can all produce transcripts. AI can turn those into a short summary of what was agreed, who’s doing what, and a draft follow-up email. Always tell people when a meeting is being recorded or transcribed, and decide how long you keep the recordings. If you use Microsoft 365 or Google Workspace, the AI may already be built in; see Copilot and Gemini setup.
We don’t set AI up to send emails to customers on its own, to make decisions about money, or to reply to complaints. We also don’t automate something that a simple template, a better form on your website or a clearer FAQ would fix more cheaply. If that’s the honest answer, we’ll tell you on the free call.
Admin automation means AI reading your email, so the tools and settings matter. We use business accounts you control where possible, keep personal data out of tools that don’t need it, and help you write a short AI policy so everyone knows the rules.
You tell us where the hours go each week. We pick the one job most worth automating.
We agree the price and what it should do, using a few of your real examples.
We set it up in your email and documents, and test it on past emails and jobs.
We show you how to use and adjust it, and check back to fine-tune it.
Not the way we set it up. It writes drafts and sorts messages. You read and send anything that goes to a customer.
Yes. Most of what we set up works inside Microsoft 365 or Google Workspace, and often with tools you already pay for.
Yes, that’s the idea. We use your template, your wording and your prices, so the quote looks like you wrote it.
That’s why you check every quote before it’s sent. We also set it to flag anything it’s unsure about rather than fill in a guess.
Yes. We set it up to fit how you already work, like recording a voice memo or forwarding an email, and show you step by step.
It can be, with the right tool and settings. We prefer business accounts you control and keep personal data out of anything that doesn’t need it.
The first call is free. After that we agree one fixed price for the job we’re automating before we start.
Out-of-hours enquiries answered, missed jobs caught and quotes written from a voice memo in the van.
